Dear Local Vendors,
This year, Spontaneous Celebrations is partnering with Sustainable Swaps to lead vendor coordination for the 47th annual Wake Up The Earth Festival. Sustainable Swaps is an organization based in Boston and New York City dedicated to lowering the impact of individual consumption through events, education, and community.
We are pleased to announce applications for vending spaces at our 47th annual Wake Up The Earth Festival are now open! The Festival is scheduled for Saturday, May 3th, 2025, from noon to 5 pm (tentative Rain Dates: Sunday, May 4th, or Saturday, May 10th). As many of you well know, in past years, the Mass DCR has estimated that crowds of up to 5,000-10,000 enjoyed our multicultural celebration featuring local activism and celebrating the return of Spring.
As with past festivals, the 2025 WUTE festival will be held on the Stony Brook deck of the Southwest Corridor Park. It will start at Stony Brook Station and run southwest across New Minton Street to Lawndale Terrace Garden Park. The festival will feature four performance stages and a multitude of activities for children and adults alike.
To participate in WUTE 2025, please note the following information about vendor applications:
APPLY: Vendor applications and sponsor forms are available on our website starting in February 2025
We accept applications and payments online.
This is a juried show, meaning we will assess all applications submitted by the deadline and then select vendors to participate in the festival. This is a way for us to better curate a wide selection of offerings at the festival. The exception would be prepared food vendors who need time to get proper permits through the city. Food vendors will be accepted or rejected as they apply.
APPLICATION DEADLINES:
All Vendor applications are due April 1st, 2025; Acceptance will be sent out starting March 10th.
Late Fee $25 (for applications received after the above deadline)
No applications accepted after April 15th
An email including a summary of your application will be sent to you upon submission.
On April 1st, all vendors will be notified whether their application has been accepted or rejected. A final confirmation email with check-in info will be sent mid-April. If the application is denied, we will let you know via email.
VENDOR LOCATIONS:
Your point person's check-in location and name/phone number will be sent to you before the festival. Locations will be assigned at check-in on the day of the event.
Spontaneous Celebrations/Sustainable Swaps does not provide tables, chairs, tents, etc. Please bring all you need for a successful day, and note that most vendor locations are in direct sun.
NON-PROFIT FEE WAIVER (KID’S ACTIVITIES OR BY VOLUNTEERING):
Vendor fees are waived for Non-Profit Info Only tables providing an approved children’s activity or by one of the volunteering options. Keep in mind that we are trying to diversify our children’s activities and will accept a limited number of repeat activities that apply for a fee waiver on a first-come, first-serve basis. Hollow tables info only, providing a demo – please be sure to specify this on your application.
We would prefer if you pay your fee!
VENDOR REQUIREMENTS:
Tax ID Numbers are required for all vendors in Massachusetts. All Exhibitors must comply with State & Federal Tax Laws and display a Tax ID Certificate in the booth. This is required for both in-state and out-of-state vendors. If you do not have a Tax ID certificate, you can obtain one online in a few minutes at no cost. Click HERE to register with the Massachusetts Department of Revenue.
Clean-Up Deposit for FOOD Vendors: Once your application is approved, a $250 clean-up deposit must be paid online. This deposit will be reimbursed to all food vendors who comply with waste receptacles and clean up the day after the event.
